Manual Processes Cost
Millions in Failures

Transformer oil sampling is one of the most critical preventive maintenance activities in the power sector — yet field data collection remains largely paper-based, error-prone and invisible to supervisors in real time.

📄
Paper sheets lost in the field
Sampling sheets completed in harsh conditions are easily lost, damaged or illegible before reaching the office.
✏️
Transcription errors
Re-entering paper data into spreadsheets introduces errors that can invalidate test results and mislead maintenance decisions.
🔍
No real-time visibility
Supervisors have no way of knowing what has been sampled, what is outstanding, or which transformers are overdue.
⚠️
Wrong transformer sampled
Manual identity confirmation means technicians can — and do — sample the wrong unit, creating liability and safety risk.
The cost of failure
A single transformer failure at a large substation can cost:
Transformer replacement (distribution → 132 MW)
R500K – R40M+
Revenue losses from unplanned outage
Uncapped
Regulatory fines & liability exposure
Significant
Reputational damage to contractor
Long-term
IBER TransSamples eliminates the root causes of these failures — missed samples, transcription errors, wrong-unit risk — at a fraction of the cost of a single failure event.

Everything a Field Team
Actually Needs

Built specifically for transformer oil sampling — not adapted from a generic form builder.

📡
Barcode Scanning
Three scanning modes: phone camera, Bluetooth scanner, or manual entry. Instant transformer lookup — no typing required. Eliminates wrong-unit risk.
📶
100% Offline-First
Works in substations with zero connectivity. Records save locally and sync automatically to the cloud the moment Wi-Fi is available.
☁️
Cloud Synchronisation
Powered by Google Firebase Realtime Database. One tap pushes all pending records to the cloud and downloads exact-replica branded reports — every report looks identical to what was approved, on every device.
📊
Manager's Dashboard
Real-time sampling progress — total transformers, sampled, remaining, scrapped — per client or across all clients. Visual completion charts. Your data, your view.
💬
In-App Messaging
Built-in inbox between the Manager and every field technician. Dispatch jobs, broadcast priority alerts, request a re-sample, send a photo back — without leaving the app or relying on WhatsApp threads. Every message timestamped and logged in the unified audit trail.
🏷️
Barcode Label Printing
Generates and prints paired labels for every transformer: a machine-readable barcode label and a sticker for the oil sampling container.
📁
5-Year History Archive
All reports organised by client and year. Navigate between reports without leaving the screen. Duplicate protection ensures a clean, auditable record.
📋
Full Field Reports
Every record generates a complete, printable field report with client details, transformer specs, field readings, test selections and barcode.
📱
Any Device, No Install
Runs in Chrome on Android, iOS, tablets and laptops. No app store. Bring your own devices, or order matched rugged tablets, barcode scanners and field kits through Iber. Add to home screen for a native-app feel.
👥
Multi-Client, Multi-Site
Manage unlimited clients, substations and transformer fleets. Each client has their own logo, contact details and isolated data view.
📣
Iber ↔ Customer Broadcast Channel
A dedicated two-way comms channel between Iber and every customer tenant. Iber pushes maintenance windows, security advisories, regulatory updates, training tips. Customers push feature requests, incident reports, on-call escalations. Every message timestamped, attributed, and logged — no WhatsApp, no email threads, no "did you see my message?". Same plumbing carries the Manager's broadcasts to their own field techs.
📒
Profile-Bound Personal Notes
Every named user gets a private notebook — bound to their identity, not the device. A field tech writes a note about a substation quirk on their phone; the same note is waiting for them on the tablet at the office. Notes never travel sideways to peers, never leak between roles. Personal context, persistent across every device they sign into.
📤
Branded Report Dispatch
The Manager Dashboard dispatches reports in the same form they were signed off — exact-replica branded PDF and HTML, signature chain intact, brand colours intact, formatting intact. Send a single transformer's report, a batch, or a project's consolidated dashboard. Delivered via the portal or directly to the customer's inbox. The customer opens what the lab approved, byte for byte.

Now with the Lab Portal
and a Multi-Role Workflow

IBER TransSamples is no longer just a field tool. The bench-side Lab Portal closes the loop from sample drum to client report — with auto-interpretation, digital sign-off and a tamper-evident activity log.

🔬
Auto-Interpretation Engines
Built-in Duval Triangle, Rogers Ratio, IEC 60422, IEC 60599 and Chendong DP run automatically as results are captured. Same answer, every time.
🔐
Multi-Role Sign-Off
Four named production roles run the laboratory. Each one carries its own pass key, its own audit-log fingerprint and its own digital signature slot:

Lab Tech  →  Supervisor  →  Manager — the three-tier operational release chain. The Lab Tech analyses the sample and signs the result. The Supervisor reviews and signs the verdict. The Manager grants final approval, signs the release, and the report goes out to the client. Every step is digitally signed; reports cannot leave the lab unless every gate is signed.

Quality Officer — the parallel independent QMS reviewer per ISO/IEC 17025:2017 §5.4. Reviews CAPA, method validation, control charts, competency records and endorses the monthly quality review. Sits alongside the chain, never inside it — preserves the separation the standard requires.
🔔
Live Job Notifications
When a field sample arrives at the lab, technicians see a top-centre banner with job number, client and priority — and an audible chime. Nothing waits unseen.
📜
Per-Tech Keys & Audit Log
Manager-controlled registry issues each technician an individual access key. Every login, draft, sign-off and dispatch is written to a tamper-evident activity log. SANAS auditors download exact-replica reports — pixel-perfect branded PDFs and HTML — straight from the portal.
☁️
Field-to-Lab Bridge
Records captured in the substation arrive at the lab the moment the field team is back on Wi-Fi. No paper handover, no re-typing, no lost samples.
📊
Manager's Dashboard
Per-tech-station oversight for the lab manager — live field sampling progress, lab throughput and report status. Drill-down per client, per field tech and per lab tech. Priority reports processing surfaced at a glance with batch counts, capacity utilisation and inbound-sample queues. The manager runs the whole pipeline without phoning round.
📋
Supervisor Desk
The operational hub between techs and the manager. Assign work, witness re-runs, escalate non-conformities. Group inbound jobs by client, filter by transformer, batch-report in a single click. The Supervisor signs Tier-2 before anything reaches the Manager Release Queue.
🔄
Acting Manager Grant
When the Manager is off-duty, hand authority to a named Supervisor for a bounded window. Auto-expires. Every release signed under the grant is attributed to both the granting Manager and the elevated Supervisor. The grant auto-revokes the moment the Manager returns. Audit-defensible by design.
📊
QA Engine — ISO 17025 Built-In
Levey-Jennings control charts with Westgard multi-rules (1-3s, 1-2s, 2-2s, 4-1s, 10-x). CAPA log against §8.7. Method validation register against §7.2. Tech competency matrix against §6.2. Monthly quality review endorsed by the Quality Officer. Not bolted on — wired into the workflow that produces the report.
🚚
Courier Custody Chain
When samples leave the field crew, the courier signs custody on the spot — pad signature on the driver's phone or the tech's tablet. When the courier delivers to the lab, the lab tech signs receipt. The chain is unbroken: Field → Courier → Lab, every handover signed, every timestamp logged. SANAS auditors stop asking "where was the sample at 14:23 on Tuesday?" — the platform already answered.
📊
QO Registers — Manager Read-Only View
The Quality Officer's registers — CAPA log, method validation, Levey-Jennings control charts, tech competency matrix, monthly quality review — sync to a read-only Manager Dashboard view. The Manager sees the QMS pulse without breaking ISO/IEC 17025:2017 §5.4 independence. Oversight without authoring. The compliance balance everyone says they want but few platforms enforce.
📑
White-Label SANAS Audit Pack
One-click generator builds the complete audit evidence bundle on demand. Your client's name as the cover title; the IBER strip moved to the footer. Per-transformer trend, per-lab-tech competency, full activity log, signed chain of custody — assembled into a single, branded PDF the customer can hand to an auditor without explanation. White-label by default; compliance evidence as a deliverable.

The Same Diagnostic Power
as the World's Best Labs

IBER TransSamples ships with the canonical Duval-2014 toolkit out of the box — the same coloured triangles and pentagons used by Capricorn, Doble, Megger and every other top-tier oil-analysis platform on Earth. Read the diagnosis at a glance — no manual look-ups, no ambiguity.

🔻
Coloured Duval Triangle 1
The IEC 60599 / IEEE C57.104 fault classifier — PD, T1, T2, T3, DT, D1, D2 zones rendered in canonical colours. Sample plot drops automatically the moment lab values are entered. Diagnosis, colour and zone label all read together in one chart.
Coloured Duval Pentagons I + II
Both pentagons in the canonical Duval-2014 orientation. Pentagon I diagnoses oil-only faults (PD, S, D1, D2, T1, T2, T3). Pentagon II adds paper-aware faults (T3-H, C, O). Side-by-side, fully filled, with the sample dot plotted exactly where it falls — matches Capricorn's reference set field for field.
📈
Trend Spreadsheet — Per Transformer
Every sample on a single transformer plotted against every previous sample on that same transformer. Gas-by-gas trend lines, threshold markers, IEEE C57.104 / IEC 60422 limit overlays. Rate-of-rise calculations done for you. The full diagnostic story of one transformer's life — on one page.
📋
Project Consolidated Report
Multi-transformer dashboard for clients with substation-wide fleets. Up to 35+ transformers per page in a transposed table — equipment in rows, parameters in columns, traffic-light pills against IEC limits. Click any transformer's bookmark to jump straight into its full report or trend spreadsheet. The view a fleet manager dreams about.
⚙️
Auto-Interpretation Engines
Duval Triangle 1 / 4 / 5, Rogers Ratio, IEC 60422 oil-condition classes, IEC 60599 dissolved-gas thresholds, and Chendong DP for paper degradation — every algorithm runs the moment lab values are captured. Same answer for every analyst, every time, every transformer.
🎯
Side-by-Side Sample History
Every diagnostic chart overlays the current sample's plot point against the previous sample's plot point — so the trajectory of fault evolution is visible at a glance. A migrating dot is worth more than any single number. Spot the trend before it becomes a failure.

Ten-Layer Defence-in-Depth
Built for Tender Reviews

Ten independent layers across all five components — Field App (Phone & Desktop), Lab Portal, Manager Dashboard, Control Center. A stolen device, a leaked key, a hostile browser, a vendor-side compromise — each scenario hits a different layer and stops there. The same protections international SaaS vendors charge enterprise rates for, baked into IBER TransSamples at no extra cost.

🔒
Failed-Attempt Lockout
Five failed pass-key attempts in a row puts the device into a 15-minute cooldown. Ten failed attempts triggers an auto-lock — the device must be unlocked by an Owner from the Control Center before it can try again. Brute-force key guessing is mathematically and practically impossible.
💣
Panic-Wipe
A stolen device is a contained device. The Owner can issue a remote panic-wipe from the Control Center — every cached record, every photo, every signature, every saved key on that device is destroyed within seconds of the next sync. The lab and cloud copies are preserved; only the compromised device is sterilised.
🔍
Device Fingerprinting
Every device that registers against your licence is identified by a deterministic fingerprint hash — browser, OS, hardware signature combined. The licence binds to that fingerprint. A stolen key on a different device gets rejected, even if the key string itself is correct.
📜
SANAS Chain of Custody
One unified audit log spans the Field App, the Lab Portal, the Manager Dashboard, and the Quality Officer's review surface. Every event — sample collected, photo captured, signature captured, batch dispatched, batch arrived, draft saved, escalated, signed, released to client, CAPA reviewed, control charts reviewed, monthly quality review endorsed — written with timestamp + actor + role. 24 months hot, 36 months cold archive — five years of evidence on demand for SANAS auditors.
🔑
4-Stage Licence Protocol
Every licence flows through a four-stage protocol before any client device can read or write production data. Each stage requires its own pass key, issued separately by Iber. The stages are cryptographically bound to each other — spoofing one stage without the others is detected at boot. Every pass key in the entire IBER suite is similarly tiered: nothing in the platform unlocks without the right key at the right gate. The detailed protocol structure is shared under MNDA with technical reviewers only.
🛡️
Multi-Role Sign-Off
Three-tier release chain in the Lab Portal — Lab Tech → Supervisor → Manager — with digital signatures, pass-key confirmation and signature-ID hashing on every sign-off. A parallel Quality Officer reviews the QMS surface independently (ISO/IEC 17025:2017 §5.4). The right person signs the right step. Reports cannot be issued unless every gate is signed.
⚖️
Signing-Chain Integrity
The credential we use to support you (the Owner Master Key) is structurally incapable of issuing a digital signature. Every signature is authored by a Lab Tech, Supervisor, Manager or Quality Officer inside your laboratory. The platform refuses Owner sessions at the modal and logs the refusal — auditor-ready evidence that vendor support cannot have authored a report.
🛡️
Quality Officer (ISO 17025 §5.4)
A dedicated, independent QMS reviewer with their own pass key and own audit-log fingerprint. Reviews CAPA, method validation, control charts and competency records — does not analyse samples and does not release reports. The separation ISO/IEC 17025:2017 expects, enforced in the platform rather than declared on paper.
🧪
Pass-Key Anti-Capture
Pass keys are entered in a way that browser password managers cannot detect, save, or autofill. Microsoft Edge will never sync a corporate pass key to a Microsoft account. Chrome will never offer to remember it. Safari Keychain will never see it. POPIA and corporate IT policies that forbid third-party credential storage are honoured by construction.
🧬
Boot-Time Integrity Self-Check
Every app verifies its own code has not been tampered with at every page load. A live page-hash check compares against a known-good fingerprint. Pass — the app continues. Fail — the app refuses to unlock the gate, displays a warning, and writes the event to the audit log. Filesystem-level injection is detected and refused.
📡
Customer Fleet Health
Every connected device sends a heartbeat every 60 seconds. The Manager and the Owner both see liveness, app version, integrity-check status, sync stats — in real time. When more than half of a fleet drops offline for more than an hour, an alert lands in the registered contact inbox. Device metadata only — no sample data ever leaves the customer tenant.
🚫
Inspection Lockdown
Right-click, F12, Ctrl+Shift+I, Ctrl+U — every common path to "View Source" or "Inspect Element" is silently blocked across all five components. The app feels like locked-down enterprise software because it is. A friendly tooltip on right-click teaches users Ctrl+C / Ctrl+V instead, so the lockdown never gets in the way of legitimate copy-paste. Owner-only escape hatch for vendor diagnostics — never exposed in the customer copy.
📍
Lost Device Beacon
Every field device sends a silent beacon on boot — last IP, last browser fingerprint, last user. The Owner can flag a device as lost from the Control Center and watch the beacons in real time until it next reconnects, then revoke or remote-wipe in one click. Panic-Wipe + Beacon together = find and sterilise. A stolen tablet becomes a tracked tablet, then a wiped tablet.
🔑
Zero-Knowledge Key Pass Vault
Pass keys for the lab team are minted by Iber, then allocated by the Manager from a sealed vault — the Manager never sees the raw key value. The Manager can issue, revoke and audit; the Manager cannot leak. A Manager-side compromise no longer compromises the key store. The separation enterprise auditors want, enforced cryptographically.

Manual Workflow
vs IBERTransSamples

Side-by-side, this is what changes the day a lab moves off paper, WhatsApp and shared spreadsheets onto the IBER suite.

Workflow Step Manual / Paper Workflow IBERTransSamples
Field sampling Pen-and-paper site sheets, hand-transcribed at the office. Wrong-unit risk. Records lost in the bakkie. Barcode-scanned capture on any phone. Saves offline. Auto-syncs to the cloud the moment Wi-Fi returns.
Sample handover to lab Hundreds to thousands of oil sampling cans delivered with paper chain-of-custody. Lab calls the field team to query labels. Lab Portal pings on arrival — top-centre banner with job number, client and priority. No queries needed.
Lab work allocation Manager assigns jobs verbally or via WhatsApp. Nobody knows who is on what until the morning huddle. Manager allocates jobs in-portal to a named technician. Every assignment is timestamped and logged.
Result interpretation Manual lookups against IEC tables. Duval triangles drawn by hand. Inconsistent calls between technicians. Built-in Duval, Rogers, IEC 60422 / 60599 and Chendong DP engines run automatically. Same answer, every time.
Sign-off & release Wet-ink signatures on printed sheets. Reports sent off without supervisor review. SANAS finding waiting to happen. Tech → Supervisor → Manager digital sign-off with pass-key confirmation and signature-ID hash. Audit-ready.
Client report dispatch Copy-paste from spreadsheets into Word. Version-control nightmares. Reports sent days late. Approved results dispatch from the portal with a single tap. Client receives a clean, branded, signed report.
Audit trail Reconstruct from emails, WhatsApp threads and a stack of paper. Days of work for an SANAS auditor visit. Every action — login, draft, sign-off, dispatch — written to a tamper-evident activity log. SANAS auditors download exact-replica branded reports in seconds.
Manager visibility Phones field crews and lab leads to ask "where are we?". No real-time picture of the pipeline. Live Manager's Dashboard shows the entire pipeline at a glance:
• Overall lab work scope
• Incoming oil samples for analysis
• Field techs & lab techs work progress live
• Lab capacity status
• Per-tech batch counts & priority reports

The IBER Control Center

A quiet backstage service that keeps your IBER deployment healthy. The Control Center looks after your licence integrity, monitors connectivity health between your devices and the cloud, issues single-use install tokens, runs the TAT approval queue, manages lost-device beacons, and orchestrates the Integration Gateway from a single Iber-only console — while safeguarding your historical archives against accidental loss.

Important: the Control Center never reads your sampling data, your client information, or your test results. Those belong to you, and only your team has access. Iber Investments operates the Control Center to keep the platform working — not to look over your shoulder.
